A Chinese window exporter documents checklist should connect the technical order with the physical shipment. Product drawings and performance records serve a different purpose from invoices and transport documents. Organize both sets before dispatch and assign responsibility for each item rather than requesting an undefined complete certificate package.
Keep a controlled technical order file
Collect the approved opening schedule, final shop drawings, glass build-up, frame and hardware references, finish approvals and accepted changes. Each item should be linked to a project and revision. These records explain what was ordered and provide a basis for inspection and later service.
Where performance reports or approvals are required, record the model and scope covered. Verify references with the issuing body or official source where available. A company certificate, a glass report and an assembly approval are different documents and should not be treated as interchangeable.
Request production and dispatch records agreed in the order
Identify the inspection reports, product labels and correction records to be provided. Link them to opening IDs and quantities. If independent inspection is part of the purchase, retain the agreed report and evidence that relevant findings were closed.
Ask for care, handling and operating instructions. List separately packed hardware and installation accessories so the receiving team can identify them. Documentation is useful only when it corresponds to the actual supplied configuration.
Coordinate commercial and shipping paperwork
Have the importer, broker and forwarder confirm the route-specific requirements before departure. The U.S. International Trade Administration provides general explanations of the commercial invoice and packing list. These are useful background references, but the destination and transaction determine the complete document set.
Check product descriptions, quantities, package numbers, weights and named parties for consistency. Transport documents and any origin or packaging records should be reviewed by the responsible professionals. Do not assume a certificate is required or sufficient simply because it appeared in a previous shipment.
Create a document handover register
- Document name, purpose and responsible issuer.
- Project, order and revision references.
- Required delivery date and current status.
- Reviewer and unresolved questions.
- Final storage location and recipient.
Resolve missing or inconsistent information before dispatch where possible. Keep the technical order file available to the installer and service team, while the commercial shipment file supports the receiving and import process. Neither should depend on searching through scattered messages later.
