Home     /     Blog     /     Approving Samples Before a Customized Window Order
By Coco

Customized window sample approval works best when the buyer states what is being approved. A finish coupon, a corner sample and a full-size operating window provide different information. Treating one as approval of everything can leave important specifications unresolved when production begins.

Choose a sample for the question

Use a finish sample to review colour, texture and gloss under agreed viewing conditions. Use a section or corner sample to review profiles, seals and assembly details. A working assembly can demonstrate operation and component relationships that a small static sample cannot.

If panel weight or span is important, ask how representative the sample is of the final item. A small lightweight sash is not a complete demonstration of a large custom unit. State those limits in the review record rather than assuming all behaviour scales directly.

Tie the sample to a written specification

Label the sample with the project, item reference, revision and relevant material codes. Record the frame system, glass build-up, hardware and finish actually supplied. Photographs help identify the sample, but should not replace physical appearance review where that is the purpose.

Compare the sample with the current drawings. If it differs, list the departures and ask whether they are temporary sample limitations or proposed order changes. Do not approve an undocumented difference simply because the sample looks acceptable.

Separate appearance, operation and performance

A buyer can inspect a handle and finish without thereby verifying a structural or weather rating. Where performance evidence is required, review the appropriate reports and their scope separately. A showroom demonstration does not establish every project requirement.

Write the approval in precise terms: accepted finish reference, accepted hardware operation or comments requiring correction. Avoid a single unconditional approved stamp when significant matters remain unresolved. Identify which reviewer is responsible for technical design questions.

Keep an approved reference through production

  • Retain the labelled sample or an agreed control reference.
  • Issue a signed review record with photographs.
  • Require revised samples for material changes where necessary.
  • Link production drawings to the approved references.
  • Compare delivered items against the agreed acceptance criteria.

Clarify sample cost, delivery and return arrangements before it is made. Include sample preparation and review in the project schedule; delayed approval can delay material release. Any alternative proposed after approval should pass through the same controlled change process.
